Life Admin is built on a simple privacy promise: your obligations live
mostly on your device. We collect the minimum needed to run the app, we
never sell or share data, and we are upfront about what the AI does and
does not guarantee. This page explains what that means in detail.
Accuracy of suggested obligations and amounts
The obligations, money-at-risk amounts, and deadlines that Life Admin
shows you are estimates generated by an AI model
(Anthropic's Claude) using a curated playbook of country-specific rules.
They are not authoritative figures and they are not financial, tax, or
legal advice.
- Tax laws, insurance regulations, vehicle inspection schedules and government fees change frequently. Numbers may be outdated by the time you see them.
- The AI may misinterpret your input, miss regional or municipal sub-rules, or generate amounts that don't reflect your specific situation.
- You are responsible for verifying every obligation, every amount, and every deadline before acting on it. Life Admin is a memory aid, not an authoritative source.
- Do your own due diligence — confirm with the issuing authority, your accountant, or your insurer before paying, filing, or relying on any figure.
The full disclaimer and our limitation of liability are set out in our
Terms of Service (sections 2 and 9). The "Help us
verify" feature inside the App lets you flag anything that looks wrong
so we can improve the playbook.
Who we are
Life Admin (the "App") is operated by the developer of trylifeadmin.com,
based in Ireland. For privacy enquiries email

We act as data controller for the limited personal data described below.
What we collect
The App stores most data on your device, never on our servers. Specifically:
1. Stays on your device only
- The list of obligations you've captured (titles, dates, amounts, notes)
- Voice transcripts from the in-app dictation, after they are sent to the AI for parsing
- Local notification schedules
- Your "Help us verify" feedback (until you choose to send it via email)
2. Sent to our servers (api.trylifeadmin.com)
- A randomly generated installation identifier we create on first launch and keep in local app storage. It contains no personal information — no name, no email, no Apple ID — and lets the server tell one install from another for billing and rate-limiting. It is not derived from your iCloud account.
- Your device identifier (Apple's IDFV) — used for telemetry and to know if you have one device or several.
- Country code — so we send you the right country playbook (e.g. RO vs. GB).
- The text or photo you provide when capturing an obligation. If you scan or pick a photo of a document, the image is resized on-device and sent to our backend, which forwards it to Anthropic's Claude for AI extraction in a single step. If you type or dictate, your text is sent instead.
- The obligation titles you have, when running Life Scan (Pro), so the AI can dedupe and avoid suggesting things you already track.
- App version + platform for diagnostics.
- StoreKit 2 transaction data when you buy a subscription or top-up, so we can activate your Pro entitlement and credit your purchase.
3. We do NOT collect
- Your name, email, phone number, or any account credentials (the App has no signup form).
- Your device contacts, calendar, photos library, or location.
- Analytics about which screens you tap or how long you use the app.
- Crash reports tied to identity — Apple's standard diagnostic reporting (which you can opt out of in iOS Settings) is the only crash channel.
Why we collect what we collect (lawful basis under GDPR)
- Installation identifier + device-id: contract necessity (Art. 6(1)(b)) — required to run the AI service you signed up for, enforce per-user rate limits, and link your purchase to your install.
- Country code: contract necessity — without it the AI returns wrong jurisdictional content.
- Capture text + image + obligation titles: contract necessity — that's the input the AI parses.
- StoreKit transaction data: contract necessity — required to activate your purchase.
How long we keep data
- On your device: until you delete the App, or until you tap Settings → Data → Delete data on this device. Uninstalling the App removes everything stored locally.
- On our servers: the install record (installation identifier + counters) persists until you ask us to delete it. AI request/response cache rows, including any uploaded image content, are kept for up to 30 days for cost optimisation, then purged.
- StoreKit transaction data: kept for the lifetime of your subscription plus 7 years for tax compliance.
Third parties
We use a small number of subprocessors — each one handles only the
strictly-necessary data for its role:
- Anthropic PBC (USA / EU) — receives the content of your AI requests (typed text, dictated text, or a resized photo of a document, plus your country code) so the Claude model can return parsed obligations. Anthropic's data-processing terms apply.
- Apple Inc. (USA / Ireland) — handles your subscription and any top-up purchases via StoreKit 2, and notifies us of subscription state changes via App Store Server Notifications V2. We see your original_transaction_id, never your Apple ID email.
- DigitalOcean (Frankfurt region) — hosts our API server and database.
Your rights (GDPR Articles 15-22)
You have the right to:
- Access the personal data we hold about you
- Correct any inaccurate data
- Delete your account and data ("right to be forgotten")
- Port your data to a different service in a structured format
- Object to processing
- Lodge a complaint with the Irish Data Protection Commission (dataprotection.ie) or your local supervisory authority

Children's data
Life Admin is not directed at children under 16 and we don't knowingly
collect data from them. If a parent uses the App to track family
obligations (e.g. a child's passport renewal), the data goes through the
same minimal pipeline described above — no separate child profile, no
additional collection.
Changes to this policy
We'll update the date at the top when we make changes. Material changes
(new categories of data, new subprocessors) will be communicated in-app
before they take effect, and via push notification if you've opted into
notifications.
